The Pregnancy Centre (TPC) is a registered charity providing practical resources and emotional support to people in Waterloo Region who are pregnant or parenting in crisis. We envision a community where needs are met, and families can thrive.

Over the last two years, TPC has experienced rapid growth due to increased immigration, housing scarcity, and inflation. We serve hundreds of families each year impacted by poverty, mental health, and generational trauma, all while pregnant or parenting. A monthly relief package of diapers, formula, food and infant clothing is provided along with attachment-based parenting programs, peer mentors and counselling services. 

 

Position Overview

The Reception and Client Care Coordinator will be the first point of contact for all clients, donors, and other visitors of the Centre.  This welcoming team member will ensure that all people are met with warmth and directed to the relevant office personnel or services. 

  • Hours:  30 hours per week, primarily in-person (Core Hours Monday to Thursday 8:45 – 4:15pm)  
  • Start Date:  October 20, 2025 
  • Accountability:  This role reports to the Manager of Operations.   
  • Contract: This is a maternity leave position, expected to last 12 – 18 months.  

Key Responsibilities

Administration & Reception:
  • Manages the reception desk, welcoming clients, providing resources and check-in for programs. 
  • Clerical duties, including answering phone calls, responding to emails, and preparing documents.  
  • Keeps accurate and up to date client files, including necessary documentation of interactions with clients and volunteers. 
  • Coordinates and manages clients and staff appointments and meetings. 
  • Responsible for managing inventory of all client supplies.   
  • Ensure The Pregnancy Centre is a clean, safe and inviting space for all people who attend.  
  • Manages in-kind donations of diapers, wipes, formula, clothing and baby equipment  
  • Connects visiting donors to relevant staff personnel.   
  • Provides tours of the Centre as needed.  
  • Provides support to all client programs, including but not limited to refreshment set-up, program clean up and other administrative duties.  
  • Provides regular support to Manager of Operations.  
Intakes & Coordination:
  • Able to complete new client intakes when needed. 
  • Adheres to the practice of confidentiality regarding clients, staff, and the organization. 
Client Care:
  • Assists and supports clients while at The Pregnancy Centre
  • Prepares diaper, wipes, and formula packages for clients.  
  • Corresponds with clients using TPC communication tools.  
  • Participates in client programming as requested by Program Team. 
  • Uses translations services or translation devices to effectively engage with non-English speaking clients.

Qualifications:

  • Post-secondary degree or diploma in Social Services or related field is preferred.  
  • A minimum of 2 years of relevant experience is preferred. 
  • Understanding of the issues faced by marginalized women, immigrants and new Canadians.  
  • Ability to communicate effectively in English, both verbally and in writing. 
  • Preference given to candidates who speak a second language.  
  • Demonstrated knowledge of community service organizations in the Waterloo Region. 
  • Knowledge of criminal justice system, Ontario Works, and the Ontario Disability Support programs.   
  • Ability to effectively project manage and handle and prioritize multiple, competing priorities. 
  • Outstanding interpersonal skills and the ability to effectively support persons of diverse ethnic, cultural, and racial backgrounds.  
  • A team player who has a desire to contribute to the overall effectiveness of TPC, its programs, staff, volunteers, and community partners in fulfilling our mission. 
  • Interest and experience working from an anti-oppressive, trauma-informed lens. 
  • Valid Ontario Class “G” drivers license and access to an insured vehicle.  
  • Applied Suicide Intervention Skills Training (ASIST) and Mental Health First Aid strongly recommended. 
  • Successful Vulnerable Sector Screening Check.

Work Conditions

  • Occasionally:  attend periodic events outside of scheduled work hours
  • Frequently: Able to lift to 30 – 50 lbs/23 kg.
  • Frequently:  pushing, pulling, kneeling, squatting, forward reaching, reaching above shoulders and bending forward from standing position, carrying of objects
